The difference between software and care.

A directory of therapists is software. A dedicated human who coordinates your care from day one is healthcare. Every employee gets a dedicated Care Navigator.

Meet the NavigatorsSee how it works

THE EAP ROUTING FAILURE

How standard platforms route employees.

No context. No continuity. No follow-up. Employees are handed an 800-number and expected to navigate everything alone.

Traditional EAP Journey

Step 1: Employee dials an anonymous call centre.

Step 2: Repeats their story to a triage agent.

Step 3: Given a list of 5 therapists. 3 have full waitlists.

Step 4: Has a session. Drops out. Nobody follows up.

15 mins average intake call3-5 days wait for provider response62% drop-out after session one

Guided Care Journey

Step 1: Single point of contact assigned immediately.

Step 2: Context travels with the employee. No repeating trauma.

Step 3: Proactive outreach if scores worsen or sessions are missed.

Step 4: Crisis cases routed immediately without queuing.

Care Navigator

WHAT A CARE NAVIGATOR ACTUALLY DOES

Four jobs. One relationship.

Our Care Navigators are licensed clinicians whose entire focus is removing friction from the employee's journey to better health.

1. Intake & Triage

Reviewing assessment scores, co-creating care plans.

2. Clinician Matching

Overriding/approving AI recommendations for perfect clinician fit.

3. Continuous Monitoring

Watching session-by-session scores, intervening as needed.

4. Crisis Routing

Executing protocols and holding cases until sign-off.

Clinical note: The Care Navigator uses Refill Navigator™ to proactively monitor recovery trends across their patient panel.

HOW THIS LOOKS IN PRACTICE

A timeline of guided care

A relationship built on proactive support, not reactive intervention. Here's a typical journey for an employee entering our ecosystem.

Abstract representation of a guided care timeline

Step 1: Day 1 — The match

Onboarding & clinician confirmation.

Step 2: Day 3 — First session check-in

Preparation support.

Step 3: Day 21 — The pivot

Adding coaching modules based on scores.

Step 4: Day 30 — Continuous support

Updating the primary therapist.

Step 5: Day 45 — Graduation

Recovery thresholds & self-guided maintenance.

THE HUMANS BEHIND THE TITLE

Not call-centre agents. Clinical professionals.

Refill Health does not use BPO staff to handle mental health intake. Care Navigators are highly trained professionals operating under clinical supervision.

Master's Degree Required

Every Care Navigator holds a Master's degree in Psychology (M.A. or M.Sc.). They understand clinical terminology and presentation.

Crisis-Trained

Navigators are trained in administering the Columbia Suicide Severity Rating Scale (C-SSRS) and executing de-escalation protocols.

Clinically Supervised

The Navigation team operates under the direct supervision of Refill Health's clinical leadership — senior RCI-registered psychologists.

Without a Care Navigator, the platform is software. With one, it's care.

Refill Health is built around the human relationship that makes mental healthcare actually work at workforce scale. The platform exists. The clinicians exist. The AI suite exists. A Care Navigator is what holds it all together — and what makes the outcomes real. Schedule a demo and we'll introduce you to one.
